How the Sciencephile welcome rewards workflow receives, uses, stores, and shares information while preparing Patreon welcome rewards.

OVERVIEW

Sciencephile welcome rewards is a Google Apps Script workflow operated through the Sciencephile creator’s Google account. It identifies eligible Patreon members, sends a private name-confirmation form, generates a personalized diploma PDF and an AI-generated thank-you recording using our owned ElevenLabs voice, and emails those files to the eligible patron.

INFORMATION WE RECEIVE

From Patreon

Patreon provides account or member identifiers, the patron’s email address, membership tier, membership start information, and payment-status information. We do not receive payment-card details.

From the invitation form

The form collects the name the patron wants shown on the diploma and, if the patron chooses to provide it, a phonetic or spoken version of that name for the recording.

Operational records

The workflow records reward status, references to generated files, processing and delivery timestamps, and operational errors needed to troubleshoot the workflow.

HOW INFORMATION IS USED

The information is used only to:

  • check reward eligibility and paid-membership status;
  • personalize the diploma and thank-you recording;
  • send invitations and completed rewards;
  • troubleshoot technical or delivery problems; and
  • prevent duplicate welcome rewards.

This workflow does not use patron data for advertising, sell patron data, or use it for unrelated marketing.

SERVICES THAT PROCESS DATA

Google services

Google Forms and Apps Script process form responses and run the workflow. Google Sheets maintains reward records. Google Drive privately stores templates and generated files. Gmail sends invitation and reward emails.

ElevenLabs

ElevenLabs receives the name used for speech within the thank-you script so it can generate the personalized recording with our owned voice. Our script does not send ElevenLabs the patron’s email address or payment information.

GOOGLE USER DATA

The Sciencephile creator account—not the patron—authorizes the app’s Google access. The app uses that authorization to read and write the workflow’s Google Sheets records, store and retrieve private templates and generated rewards in Google Drive, process form responses, and send workflow emails through Gmail.

Patrons do not sign in with Google or grant this app access to their Gmail, Google Drive, or other Google account data. Completing the invitation form does not authorize access to a patron’s Google account.

Use of information received from Google Workspace APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. Google user data is used only to provide and operate the welcome-rewards workflow described here. It is not sold, used for advertising, or used to train a general-purpose AI model.

STORAGE, DELIVERY, AND SECURITY

Templates and generated reward files remain private in Google Drive. Recipients receive the diploma and recording as email attachments; the workflow does not publish those files through public Drive links.

Invitation links are private and should not be shared. No system can guarantee absolute security, but access to the workflow and its files is limited to the authorized creator account and the services needed to operate it.

RETENTION AND DELETION

There is currently no automatic deletion schedule. Records and generated files remain until they are manually removed. If a deletion request is completed, minimal identifiers and delivery status may still be retained where needed to prevent a duplicate reward.
